Almost every client who comes to us wants a fixed price on their software project. And honestly, I understand why. Budgets are real. Board approvals are real. Financial certainty matters when you're the one answering for the spend.
But after years of building websites, apps and SaaS products, I've learned that a fixed price on its own rarely gives you the certainty you're looking for.
What a fixed-price contract actually does
A fixed-price contract creates an incentive for the development team to scope everything down to a minimum viable interpretation of every requirement. That isn't because teams are dishonest. It's because anything extra, however reasonable, costs them margin.
- Every requirement gets read in its narrowest possible way.
- Small, sensible changes turn into change requests and negotiations.
- When time runs short, quality and testing are the first things to give.
- You end up with software that matches the contract, but not always what your business needs.
What the projects that go well have in common
The projects I've seen go well are the ones with three things in place:
- Clear phases, so the work moves forward in steps everyone can see.
- Defined deliverables for each phase, so both sides know exactly what "done" means.
- Clear and honest conversations about what evolves, because requirements always do once real users get involved.
Structured isn't the same as an open budget
This isn't an argument for an open-ended budget. It's a structured engagement, where the client is never surprised by the cost and the team is never cutting corners to save margin. You still know what each phase costs and what it delivers. You just keep the freedom to adjust as you learn.
A fixed price is a comfort mechanism. A structured delivery is an actual solution.
How we work at Prime Techno Works
That's why we plan projects phase by phase. Each phase has agreed deliverables and a clear estimate, and we review progress together before moving on. When something changes, we talk about it openly, so decisions are made with the full picture rather than buried in a contract.
